8 Golden rules

1. I create strong and unique passwords for every account, by using passphrases.

The password policy at Viterra is: 10 characters, including at least 3 out of 4 of the following: 1 lowercase letter, 1 uppercase letter, 1 number, 1 symbol. To make sure all your accounts are well secured and cannot be accessed by anyone else; you create a unique passphrase for each account according to these guidelines, for instance: “1 LOVE to drink tea!”

2. I always keep my login details to myself.

At Viterra, we make sure our login details are always stored securely and are not shared with anyone, colleagues, or others. By keeping your login details to yourself, you ensure that our sensitive information stays secure.

3. I take two seconds to check the sender, links, and attachments of messages I receive.

Phishing is a big threat to Viterra’s information security. You can help keep Viterra secure by taking the time to check a message you receive for any phishing characteristics and think 2 seconds before you click. Do you think you have received a phishing message? Report it using the Phish Alert button. Clicked on a suspicious message? Report it immediately to the IT Service Desk.

4.  I make sure to securely share, store and dispose of sensitive data.

At Viterra, we distinguish four levels of data classification (secret, restricted, internal, public). Based on the classification level, you should treat the data differently when it comes to storing, sharing and disposal.

5.  I make sure I only access Viterra information which I need to do my job.

At Viterra, we work according to the ‘need to know’-principle, which means you only access the data you specifically need to perform a specific task.

6. I always keep a clean workspace.

At Viterra, we lock our devices when leaving our workspaces. Whenever you leave your workspace for a longer period of time, make sure to store sensitive information securely before you leave, whether you are working at a Viterra location or from home. Always remove possible physical documents from the printer station. This way, we leave our working space clean and minimise the possibility of a security incident.

7. I register visitors and accompany them during their entire visit.

If you welcome a visitor, make sure to register them before their arrival and accompany them throughout their visit. Also make sure they receive a visitor’s badge upon arrival and make sure they hand it in upon their departure. If you see unaccompanied strangers, always approach them, and guide them to the reception area.

8. I always report (possible) security incidents immediately to the IT Service Desk.

Mistakes can happen to anyone. It is important that we respond quickly and in the correct way. If you come across a situation that you do not trust – even in doubt –, always report it to the IT Service Desk immediately.
